Before you start
- The record for the machine. Missing machines often turn up, so the status on its own changes nothing about the money.
Mark a machine lost or stolen
Set the status, decide about book value, and what gets recorded.
Transcript
- When a machine goes missing, mark it lost or stolen.
- Search for its tag and open the record. The pill in the heading shows the status: Active.
- Tap the pill and choose Lost. The change is staged — nothing is written until you save.
- Because this machine is company-owned and carries book value, Manifest asks: Remove from book value?
- Its cost and depreciation will stop counting in book value and Finance. Lease rent and support still count, and you can return it to book value later.
- Remove from book value takes it off the books. Keep on the books leaves the money as it was.
- Save writes both together: the status and the write-off. The record is back, and the pill reads Lost.
- In the Financial band, a Book value row says the machine is written off, and who did it, and when.
- If it turns up, tap the pill, choose Active, and answer the mirror question: Return to book value.
- Both moments are in the record's Activity trail — what happened, your name, and the date.
Open the record and tap the status pill
On screenOn order · Received · Active · In storage · In repair · Lost · Stolen · Decommissioned
The pill in the header names the status the record holds now, and tapping it opens the Status editor — you don't need Edit for this. It lists every status the phone can set: On order, Received, Active, In storage, In repair, Lost, Stolen and Decommissioned. Disposed isn't there, because a disposal needs its own record, not a stamp.
From the register's search to the record, in one go. Tap Lost or Stolen
On screenLost · Stolen
Back on the record, the change is staged — Cancel and Save 1 on the toolbar, nothing written yet — and the record is now the machine as it will stand. A machine in service also draws its warranty axis; this one will not.
The pill opens the status choices directly; nothing is written yet. The question comes up as a card over the record
On screenRemove from book value?
If the machine is company-owned and still carries book value, a card asks: Remove from book value? It says its cost and depreciation will stop counting in book value and Finance, that lease rent and support still count, that it's recorded in the audit trail, and that you can return it to book value later. A leased machine isn't asked, because it has no book value of ours to remove.
The question a Lost or Stolen status asks about a company-owned machine. Decide
On screenRemove from book value · Keep on the books
Remove from book value takes it off, and the record says so at the top of what's staged: Removed from book value when you save. Keep on the books leaves the money as it was, with the status still changed. Declining writes nothing, and so does closing the card — the question can be asked again another day.
Remove from book value, tapped; Keep on the books the other way. Save
On screenSave 2
One Save writes the status and the write-off together, so Save counts both: Save 2. The receipt says 2 changes saved. If you kept it on the books, it's Save 1.
One Save writes the status and the write-off together. Check the record
On screenBook value
The Financial band now carries a Book value row — Written off Sep 28, 2026 by Gunnar Mahoney, with the day and who did it, and only then; a machine never written off carries no empty line about an act that never happened. The header's pill names the state itself — Lost — and nothing else on the record repeats it.
The Financial band carries the write-off: who did it, and when. It still counts as findable
On screenVerify
A lost machine stays on the verification worklist, unlike one decommissioned or disposed of: if somebody sights it, Verify still records that sighting, and that's the evidence that gets a stolen machine onto an insurance claim.
If it turns up
On screenReturn to book value · Keep written off
Tap the pill and set it back to a status like Active or In storage. The record asks the mirror question: Return to book value? Pick Return to book value to count it again, or Keep written off. Both are recorded, and the write-off's day and author stay in the trail either way.
The mirror question, when a lost machine turns up.
